Job Description:

Our client is seeking a highly dependable and organized Virtual Appointment Setter to handle inbound phone calls and schedule service appointments. This is a full-time, entry-level position designed for individuals who can deliver excellent customer service, accurately input information, and manage scheduling using internal software. No sales involved.

 

Responsibilities:

• Answer inbound customer calls promptly (ideally on the first ring).

• Identify whether the caller is an existing or new customer.

• Gather caller information and understand their service request.

• Use scheduling software to determine technician availability by location and time.

• Offer appointment time slots and finalize bookings based on caller availability.

• Collect and input caller information including full name, email, and property address.

• Accurately input appointment details into the internal calendar system.

• Route calls or take messages when necessary for follow-up by other team members.

• Ensure no customer call goes unanswered during working hours.

 

Required Experience and Qualifications:

• Prior experience in customer service, call handling, or administrative support is preferred.

• Clear and professional verbal communication skills in English.

• Ability to follow a standardized intake script and scheduling process.

• Strong attention to detail and ability to enter accurate information quickly.

• Reliable internet connection and a quiet environment suitable for professional phone interactions.

 

Preferred Skills:

• Familiarity with scheduling or calendar management software.

• Experience working remotely in a customer service or virtual assistant role.

• Basic understanding of geographic areas in Los Angeles is a plus, but not required.

 

Personality:

• Friendly, patient, and customer-oriented.

• Punctual and dependable with a strong sense of responsibility.

• Able to handle repetitive tasks efficiently without loss of focus.

• Willing to be trained and follow structured processes.

 

Software & Tools:

• Internal scheduling/calendar system (training provided).

• Phone system or VoIP software (provided by client).

• Basic office suite or email platform for occasional follow-ups.

 

English Level:

C2

 

Schedule:

Full-time: 9-5 PST.
