Office Admin needed


This is a permanent, full time position with primarily schedule averaging 40 hours per week including weekends. 

ESSENTIAL DUTIES

The following duties are essential to this position. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned.

  • Provide Administrative support for administration building 

  • Answer all incoming calls to general Zoo line

  • Screen and admit visitors through the Administration building gate

  • Perform Receptionist duties including greeting office guests, processing mail and assisting zoo directors and staff with projects

  • Answer inquiries from the zoo’s website or coordinate responses that involve more information

  • Oversee and handle all operations associated with the Administration building to include coordinating maintenance, custodial needs and organization as well as administrative support

  • Manage and maintain office equipment such as copier and printers.

  • Oversee office supply inventory and ordering

  • Attend meetings and record meeting notes and distribute with appropriate audience(s)

  • Arrange meeting logistics including room scheduling, food orders/deliveries, meeting invites and reminders, meeting materials, and minutes

  • Assist with education, general admission sales, event and group program registrations, payments and refunds

  • Process and manage in-kind donation requests

  • Serve as back up to cash room staff as needed

  • Prepare daily bank deposit, copy checks received, and update the check log and email

  • Perform other duties as assigned

Requirements

QUALIFICATIONS

The requirements listed below are representative of the knowledge, skill, and/or ability required. 

Previous work experience in an office setting, phone skills, and customer interactions

  • General understanding of non-profit organizations is beneficial

  • Proficiency in grammar and spelling and written communications

  • Self-starter experienced in excellent customer service delivery

  • Maintain confidentiality for sensitive information and records

  • Proficiency with personal computers and software including MS Office, Excel, Google Suite e-mail and calendar, internet searches, POS and reporting software, etc.

  • Ability to handle a flexible workload and variety of assignments.

  • Ability to perform basic mathematics including computing ratios and percentages.

  • Ability to deal with the public and work with individuals from varied backgrounds as a representative of the Zoo and the Zoo’s policies and code of ethics.

  • Must be able to operate independently, exercise initiative, and demonstrate capacity for detail and follow-up.

  • Must be able to maintain work hours that will serve the needs of the Hope Zoo including weekends and Public Holidays.

  • Employment with the zoo is the employee’s primary responsibility

  • Ability to perform Zoo errands and deliveries as needed.

  • Ability to act calmly and professionally in all situations such as emergencies and guest interactions.

EDUCATION and/or EXPERIENCE

At least 1 year of relevant experience in an office setting. Any equivalent combination in which education and experience are interchangeable at the rate of one year of education for one year of experience is acceptable.

Excellent verbal, written and interpersonal communication skills are required. Candidates should be able to effectively communicate with visitors including children and adults, volunteers and staff. Email resume to hopezoofoundation@gmail.com
