Administrative Assistant
Key responsibilities typically include:
Communication Management: Answering and directing phone calls, managing emails and faxes, and greeting visitors.
Scheduling & Coordination: Managing calendars, scheduling appointments, and organizing meetings, including booking rooms and preparing agendas.
Document Preparation: Writing, editing, and proofreading memos, reports, letters, and presentations.
Information Organization: Maintaining electronic and physical filing systems, databases, and records for easy retrieval.
Office Operations: Monitoring and ordering office supplies, managing vendor relationships, and coordinating equipment maintenance.
Logistics: Making travel arrangements, including booking flights, hotels, and transportation, and creating itineraries.
Basic Financial Tasks: Processing invoices, tracking expenses, preparing expense reports, and sometimes performing basic bookkeeping in software like QuickBooks.
