The Executive Assistant is responsible for undertaking a variety of administrative and personal tasks, to ensure that the Director’s office operates with efficiency on a daily basis.


DUTIES & RESPONSIBILITIES:

This position performs duties in the following functional areas:


  • Assist with ordering/buying of inventory items, based on computer sales and estimations etc.

  • Aid in sourcing of new vendors - communication, proving information, follow up

  • Assist with coordinating and executing personal tasks on behalf of the Directors.

  • Communicate with all stakeholders and provide support when required.

  • Communicate with Board Members, schedule Board Meetings, and prepare meeting agendas.

  • Ensure follow up on all task given to internal stakeholders, ensuring all deadlines are met, coordinating and compiling information and present to the Directors. 

  • Follow-up and prepare all necessary documents and information in support of Board Meetings.

  • Filling and retrieving corporate records, documents and reports.

  • Liaise with companies regarding orders/follow/tracking/shipping etc.

  • Manage active calendar of appointments, organize executive and personal travel arrangements(local & oversees), and schedule meetings.

  • Manage Directors expenses, receipts, credit card reconciliation etc.

  • Organize, chair and execute meetings on various platforms (Zoom, Google Meet etc.) 

  • Perform Administrative duties on a daily basis.

  • Prepare & send business and private correspondences.

  • Prepare and review communications and presentations to ensure accuracy and timely execution.

  • Verification of the accuracy of orders in comparison to PO provided.


COMPETENCIES; EXPERIENCE & QUALIFICATIONS:

  • BSc. Degree in Business Administration or related discipline 

  • At least 1 years’ experience in a similar capacity

  • Certified Typist – At least 60 wpm

  • Certificate/Diploma as an Administrative Professional (would be an asset)

  • Experience in using MS Office Suite

  • Excellent organizational and communication skills

  • Proficient in Google Meet, Microsoft Teams & Zoom

  • Track student progress and help students stay on pace to take the examination within 30 days of the class end date

  • Strong computer and technical skills to troubleshoot driver installations and products

To provide personal and confidential administrative services to the Chief Executive Officer, including but not limited to overall administrative support to facilitate the efficient operation of the Bank and the GraceKennedy Financial Group Holding Company. 

 

Principal responsibilities                                                                                                    

 

  • Provide secretarial and administrative support to the Chief Executive Officer.
  • Prepare and edit correspondence, communications, presentations, memos, reports and other documents frequently of a confidential, strategic and/or specialized nature.
  • Coordinate meetings for the Chief Executive Officer.
  • Transcribe and distribute minutes of meetings as well as prepare and circulate agendas and relevant documents.
  • Receive and screen information, visitors and phone calls using judgment regarding sensitivity and priority. 
  • Schedule the Chief Executive Officer appointments and manage his/her Outlook Calendar in an efficient and effective manner.
  • Prepare documentation package for the Chief Executive Officer for Board Meetings.
  • Monitor and ensure that updates on all action items from the Boards (GK, GKFG, FGB), Executive and other Committees are submitted by the due date, with emphasis on closing out items where possible.
  • Provide overall administrator support to the FGB Transformation Steering Committee with special focus on the coordination of activities and documents within the required timelines.
  • Ensure activities of a records management nature are kept up-to-date, example filing system and contact information for the Chief Executive Officer’s direct reports.
  • Maintain office supplies inventories and coordinate maintenance of office equipment where necessary.
  • Act as liaison with external agencies and clients, Strategic Business Units (SBUs) including interaction with internal staff at all levels.
  • Coordinate vacation leave roster for the Chief Executive Officer’s direct reports.
  • Coordinate mid-year and end of year appraisals to ensure timely completion by Chief Executive Officer for all his direct reports.

  

Required Qualification, Experience and Key Competencies:  The successful candidate should have:

  • A Diploma in Business Administration
  • A minimum of Five (5) years’ experience in a similar capacity
  • Excellent communication and presentation skills
  • Proficient in Microsoft Office
  • Knowledge of standard office administrative practices and procedures
  • Excellent interpersonal skills

I am looking for a responsible and mild-tempered individual to nurture, teach, and provide excellent childcare to my 3 children (ages 4 years, 3 years, and 7 months).

Schedule: 

8:30 am – 7:00 pm Monday – Friday and 2:00pm – 6:00 pm on Sundays (Saturdays off)

 

Responsibilities include: 

Bathing, tidying, and cleaning the children as needed

Teaching children based on a curriculum for 4 hours per day

Providing patient guidance and support to the children

Changing diapers, bathing baby and potty-training three- year old

Light housekeeping (maintaining of living room and kitchen)

Ensure children’s safety during indoor and outdoor activity playtime

Follow parent’s instructions on how to rear child

Teach children appropriate social behaviours, such as being respectful to each other and cleaning up

Preparing meals throughout the day for children

Other responsibilities as needed

 

Requirements:

Must be extremely compassionate

Previous experience as a Nanny, Babysitter or Teacher

Genuine love of children

Willingness to take direction

Commensurate education or experience

Excellent command of the English Language
