Position Summary
We are seeking a detail-oriented and client-focused Wealth Services Coordinator to support our advisory operations and ensure a seamless, white-glove experience for our clients. This dual-function role combines client call booking and calendar management with administrative support throughout the client journey. As the first point of contact, you will help deliver the exceptional service standards that define Bailey Wealth Group.
Key Responsibilities
Client Scheduling & Engagement:
• Coordinate scheduling of discovery calls, consultations, and follow-up meetings
• Follow up with leads and inquiries via email, phone, and messaging platforms to confirm appointments
• Manage the advisor calendar and eliminate scheduling conflicts
• Send confirmations and reminders to clients ahead of each meeting
• Track appointment metrics and client progression through the service pipeline
Client Administrative Support:
• Oversee client onboarding and manage document collection and preparation
• Maintain accurate client records in CRM and secure file management systems
• Prepare client meeting notes, financial summaries, and follow-up documentation
• Liaise with financial institutions, mortgage providers, and insurers to gather or verify information
• Respond to client inquiries with professionalism and warmth via phone, email, or WhatsApp
• Support delivery of financial plans, follow-up packages, and ongoing service communication
Qualifications
• Bachelor’s degree in Business Administration, Finance, or a related field
• 1–2 years of experience in a client service, scheduling, or administrative role (financial services is a strong asset)
• Exceptional communication skills, both written and verbal
• Proficient in Microsoft Office and scheduling tools (e.g., Outlook, Calendly, Google Calendar)
• Familiarity with CRM systems and digital file sharing platforms
• Highly organized, detail-oriented, and able to multitask effectively
• Warm, proactive, and professional demeanor with a client-first approach
