Office Administrator


Reports to CEO 

Job purpose

Adtelligent is looking for an experienced office administrator. This person will maintain a positive company image to our clients as well as play an integral role in the organizational aspects of the company. They will be the first line of communication to clients, visitors and suppliers. This person will handle the day to day organizational and communicational tasks of the company. 

Duties and responsibilities

Handle daily operations such as checking emails and answering the phone
Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
Coordinates client events or off-site shoots 
Manage Account Payable and Receivable 
Handle purchases for office, any items the company needs, manages stock list 
Perform accounting tasks, including invoicing and budget tracking
Gather documents and financials, corresponding with banks, Applying for loans
Write reports of the cash flows of the company 
Creates agendas and takes meeting notes
Ensure staff gets paid on time, manage payroll, work with Accountants to create pay slips and keep track of paydays, employee salaries - raises and deductions, etc. 
Create invoices in QuickBooks 
Manages Financial Statements

Qualifications

Office Administrator Skills and Qualifications
3-4 years of experience in an administrative or management role 
Proficiency with Microsoft Office Programs, QuickBooks and google cloud 
Detail-oriented 
Solid data entry skills with an ability to identify numerical errors
Good organizational and time-management abilities
Exceptional Communication and Customer Service Skills
Impressive social skills
